How to Use eSign for Policy Signing

When a policyholder opts for electronic delivery, Openly uses DocuSign, a trusted secure platform, to manage and protect their digital signatures. While the signature process is simple for the client, it requires a quick manual step from agents to get things rolling.

Electronic signature requests are not sent to policyholders automatically. To start a policy application, agents must manually click the Send App for E-Sign button on the Documents tab in the Agent Portal.

Once this button is clicked, the system will instantly route the paperwork to the policyholder's email.

  1. The policyholder receives an email from DocuSign on Openly's behalf.
  2. They click the Review Document button inside the email to begin.
  3. They follow the on-screen prompts to review and sign the application.

What to Do If a Client Gets Stuck

If a policyholder runs into technical difficulties while signing, have them scroll to the bottom of the DocuSign email. They will see two helpful alternative options:

  • The Alternative Signing Method: This lets them visit the main DocuSign website and manually enter the unique security code at the bottom of their email to access their documents.
  • The Help with Signing Link: This redirects them straight to the DocuSign Support Center, which features quick instructional videos and troubleshooting guides. From there, they can also message or live chat with DocuSign's support team directly.
