How to Download or Upload an Application in the Agent Portal

Openly allows agents to download and print a wet signature application or send the application for eSignature (usually via DocuSign). An eSigned application or an application with a wet signature must be uploaded within 30 days of policy issuance.

If an agent submits an eSigned document, the team auditing applications will also ask for the submission of a Certificate of Completion or an eSign history document if one is missing.

Make sure to submit all pages of the signed application.

Note: All signed applications (both wet signatures and eSignatures) must be uploaded within 30 days of policy issuance.


Download an Application as a PDF

The method for downloading an application depends on where the policy is in the lifecycle:

During the Quoting Phase

  1. Open the quote in the Agent Portal.
  2. Go to the Admin tab, scroll to the bottom, and click the Download button to save the application as a PDF.

 

For Issued Policies

  1. Open the issued policy in the Agent Portal.
  2. Navigate to the Documents tab.
  3. Click Send App for E-Sign to route it directly to the policyholder, or download it to your device for a physical wet signature.


Uploading a Signed Application

Once you have gathered the signed document, follow these steps to upload it for review:

  1. Search for the specific policy in the Agent Portal.
  2. Navigate directly to the Documents tab and click Upload Document.
  3. Select Manually Signed Application from the Document Type dropdown menu.

  4. Click Choose File (or drag and drop your file into the designated space) and click Save. A success message will appear on your screen once the file has uploaded correctly.


Audit and Signature Requirements

To ensure a smooth auditing process and avoid follow-up requests, double-check the following before uploading:

  • Submit All Pages: Ensure every single page of the signed application is included in your upload. Missing pages will delay approval.
  • eSign Audits: If you are submitting an eSigned document, you must also include the Certificate of Completion or the eSign history document. The audit team will flag and request this if it is missing.
