Managing Policy Contact & Communication Preferences

From the policy summary page in the Agent Portal, agents can view and update the policyholder’s contact information and delivery preferences in the Policyholder Information section.

Note: Updating the policy mailing address does not change the insured property address.


Update Mailing Address

  1. Search for the policy and click View.
  2. Select Policy Actions, then choose Change Endorsement. 

     

  3. Select the Effective Date for the change and click Create. 

     

  4. Under the Parties section, locate the Policyholder Information card and click Edit (pencil) next to the Mailing Address field. 

     

  5. Input the updated mailing address details and click Save.
  6. Click Next to proceed to the Review screen.
  7. Confirm the proposed changes are accurate, then issue the change endorsement.


Update Phone Number, Email Address & Text Alerts

  1. From the policy summary page, locate the Parties tab.
  2. Click the Edit (pencil) icon under Policyholder Communication Preferences.

     

  3. Enter the updated contact details and text messaging preferences provided by your client.
  4. Click Save to apply the changes. 

     

Communication Preferences

When quoting a new policy, under Communication Preferences, agents will enter the policyholder’s phone number, email, and opt in to text messages and electronic documents.

 

  • SMS Text: Opting in allows Openly to send automated SMS alerts (such as payment reminders or claim status updates) directly to the policyholder's mobile device. Confirm with the client that they consent to receive transactional text messages before enabling this feature on their account.
     
  • Electronic Documents: Policyholders can opt in to electronic communications from Openly and may qualify for up to $25 off the standard fee (state-specific). With eDocs, Openly emails the declarations page, policy, authorization forms, and other correspondence. Openly may still send receipt confirmations and/or marketing emails regardless of opt-in status.

The policyholder who elects to allow for this policy, notices, and communications to be sent to the electronic mail address provided by the policyholder should be aware that the election operates as consent by the policyholder for all notices to be sent electronically, including notice of non-renewal and cancellation. Therefore, the policyholder should be diligent in updating the electronic mail address provided to the insurer if the address should change.
