An Agent of Record change will update the agent listed on the policy to another agent within the same agency. The policyholder will be assigned a new agent, but the policy will reflect the same agency’s information and short ID code.
There is no waiting period for an Agent of Record change.
- The customer’s name
- The policy number
- The new agent’s name
- The effective date of the change
For five (5) or fewer, the current AOR or a user with Agency Admin privileges can update policies within the Portal. View the tabs above for more information. You can also submit a request with the information listed above via our webform.
Broker of Record (BOR)
A Broker of Record change is updating the agency listed on the policy to another agency. The new agency is requesting the policy be placed under their brokerage. The policyholder will be assigned a new agent, and the policy will reflect the new agency’s information and agency code.
To process one, the Customer Experience Team needs the following information filled out in the Acord Form attached below:
- The new agency name
- The policy number
- The new producer’s name
- The new agency’s code
- The effective date of the change
- The customer's address, signature, and date
Commissions will honor the BOR's effective date. If the BOR's effective date is after the effective date of the policy term, the previous agency will receive the commission and the current agency will earn a commission on any new activity. When the person filling out a quote differs from the person who will be the Agent of Record (AOR), here's how to ensure the policy is assigned to the correct agent.
- Navigate to the quote by clicking the Quotes button, then clicking on the policy number, or by clicking the Search button to input the property address, insured name, or policy number in the Portal's sidebar. Once the policy appears, click View.
- Click on the Payment & Bind tab and look for the Agent of Record section.
- Click on Myself (your name) if you will be the Agent of Record, or choose another agent from the dropdown. The dropdown to choose another agent will only display agents appointed with Openly in the property's state.
If the potential Agent of Record's name isn't shown, contact your assigned Agency Success Manager to become appointed in the state. - Review the policy information to ensure the property and eligibility questions are answered correctly. Then, review the checkboxes under the Payment & Bind tab and click the Request Bind button.
Once issued, the designated Agent of Record will receive an email informing them that a policy has been bound under their name. Policy documents will be generated on the Documents tab.
When an issued policy requires a new Agent of Record (AOR), here's how to ensure the policy is reassigned to a different agent. This feature is also available to those with an Agency Admin role.
- Open any issued policy from the search screen by clicking Manage.
- Select New Transaction.
- Select Update Agent of Record, choose an Effective Date, then click Create.
- Click Change, and a dropdown will appear to choose the new Agent of Record.
- Choose the new Agent of Record, click Save, then click Next.
- Click Issue. The policy now has a new Agent of Record.
